External Users

Access to LNF

Visitors must show an identification document at the main INFN entrance. They will be given a provisional visitor badge that must be returned to the guards the same day. Users who apply for LNF hospitality must withdraw their personal badge the day of arrival (see badge instructions below). All visitors must take a look at the Safety rules available here.

 

Request of hospitality as LNF Guest

In order to conduct a working or studying activity at LNF, external users are required to:

 

  1. have an account in the INFN Identity Management System. If you do not have an account, please register following the instruction given in the registration procedure GUIDE (in Italian)/ Short guide (in English);
  2. contact the Secretariat of the local host group and provide – AT LEAST ONE WEEK BEFORE ARRIVAL – the following documents (or send them directly to useroffice@lists.lnf.infn.it, if you don’t need assistance):
    • declaration/clearance (a nulla osta of the home Institute about the job position and the permission to study/work at LNF for a specified period; the work risks must be specified, in agreement with the LNF group leader, otherwise the nulla osta will be rejected; this document is not required for people owning a LNF fellowship or internship);
    • working activity authorization request (i.e. the hospitality request form, to be filled by the user and by the LNF group leader);
    • copy of passport or id card;
      in addition:

      • employees and associates of other INFN units whose activities at LNF will involve risks from ionizing radiation, must  provide a copy of the radio-protection form filled in at the INFN Unit to which they belong;
      • undergraduate students of Italian Universities must provide their academic transcript (not required for laboratory activity in agreement with the University);
  3. acquire proper information on safety and emergency procedures at LNF, as specified in the following flyer of the Safety Service (mandatory for new LNF users).

 

The registration as LNF guest is processed by the Users Office.

Users can check their registration by querying the LNF phonebook.

Users will be notified by email when their radioprotection form and professional risks form are ready, in order to validate them.


Badge

The first day of arrival users must withdraw their personal LNF badge at the General Service Office (Protocollo) of the Central Administration (Mr. G. Orlandi/Mr. S. Cerroni, ph. 0694032204, Bldg. N. 30, ground floor, on the right. Mon-Fri h. 10:30-11:30). The visitor badge must be returned to the guards.


Renewal

The hospitality generally expires at the end of each year and can be extended by providing a new clearance of the home institute.

If the hospitality is expired within the last 12 months, it can be reactivated on request of the local group leader and by providing a new clearance. Otherwise, it will be necessary to submit a new request by providing the documents listed above. A new request is also necessary if the position at the home institution has changed. To renew an association it is necessary a new request.


Safety and Radioprotection

Users are requested to acquire proper information on safety and emergency procedures available on the Safety Sevice web page. New users must attend the online course on safety (see point 3 above).

Association

Association gives the possibility to take part in the institute activities and to benefit from INFN facilities and economic support for activities outside the Laboratory. To apply for the association it is necessary to be registered as LNF guests.

Internet access

  • To get an account on the LNF Unix Machines users must have completed the hospitality procedure. Afterwards they have to submit the account request to the Computing Service.
  • It is mandatory for all account owners to attend the IT Security Course.
  • To access internet, users may authenticate with EDUROAM credentials or they may ask the Secretariat for LNF guest credentials. For more information see Network access.

Access to the Laboratory after normal working hours

To have access to the Labs after normal working time and during the weekends users, as well as LNF employees, need to be authorized by the Head of the Division/Service to which they belong (see the dedicated page).


Permit of stay

Foreigners must have complied with the Italian immigration and visa requirements. Foreigners from non-European countries staying in Italy for more than 3 months must apply for a “permesso di soggiorno” (Permit of stay) within 8 days from their arrival. The application can be done at the local Postal Office (see also portale immigrazione). It is necessary to provide:

  • application form (available at the Post Office);
  • valid passport or other equivalent travel document (if required, also a visa) and a copy of it;
  • 4 passport size photographs;
  • one revenue stamp (“marca da bollo”) of 14,62 €, (only people coming from outside the Schengen area. It can be bought at tobacco shops)
  • a “Declaration” by LNF (released by the Visitor Office)

Copy of the receipt, and afterwards copy of the permit of stay, must be given to the Users’ Office.

Foreigners staying in Italy for less than 3 months must fill a declaration to be presented to the Police Station of Rome (Questura – Ufficio Immigrazione) within 8 days from their arrival.
This declaration is not required for:
1. foreigners arriving directly from a country which doesn’t apply the Schengen Agreement, since in this case their presence in Italy is certified by the stamp put on the travel document by the border police;
2. foreigners lodging in a hotel, since the declaration of presence will be provided by the hotel.


Guest House


Canteen and Bar

  • Users may have lunch at the LNF Canteen. Ticket full-rate is 7,00 €. The LNF Bar is open at breakfast and lunch time. The Canteen and the bar are closed on Saturday and Sunday. More information here.

Other information

  • To have an account at the LNF Stockroom guests must be authorized by their group leader.
  • To get payments (remuneration or reimbursement) from LNF and to open an account in a Bank an Italian fiscal code (“codice fiscale“) is required. The LNF administration will submit the fiscal code request to the Italian Revenue Agency. Payments will be made via bank transfers. Cash payments are not allowed.
  • The Laboratory has an internal mail service. The mail boxes, inside the HEP bldg. (36B), are on the ground floor.
  • The LNF Library is open 24 hours per day (HEP bldg., 36B , ground floor).
  • Central Printing Service, managed by the Computing Center.
  • Fax Service.
